About the Opportunity
Our client is a highly regarded residential builder with a long-standing reputation for delivering quality homes and exceptional customer experiences. Due to continued growth, they are seeking an experienced Pre-Site Coordinator to join their team and manage projects through the critical pre-construction phase.
This is a full-time position, Monday to Friday, based in a modern office environment with a collaborative and supportive team. They also offer 1 -2 days WFH.
The Role
Reporting to the Customer Experience Manager, the successful candidate will be responsible for managing the client journey from sales acceptance through to construction commencement, ensuring projects progress efficiently while maintaining a high standard of customer service and accuracy.
Key responsibilities include:
- Managing multiple pre-site files simultaneously and maintaining accurate project records.
- Coordinating permit applications, council approvals, and associated documentation.
- Ensuring all building contract conditions and pre-construction requirements are satisfied.
- Liaising with clients in a professional manner across phone, email, and face-to-face interactions.
- Recording and managing client communications throughout the pre-site process.
- Conducting follow-up activities to keep projects on schedule.
- Tracking finance approvals, deposits, and key project milestones.
- Monitoring land settlements and ensuring project information is accurately maintained within internal systems.
- Following up developer approvals and proactively resolving issues to minimise delays.
About the Ideal Candidate
This opportunity is best suited to a highly experienced pre-site professional who can confidently manage a busy pipeline with minimal supervision.
The successful candidate will demonstrate:
- Extensive experience in a Pre-Site Coordinator, Customer Experience Coordinator, Workflow Coordinator, or similar role within residential construction.
- Strong knowledge of the end-to-end pre-construction process, including permits, approvals, and contract administration.
- Experience using ClickHome or comparable residential construction software (highly regarded).
- Exceptional organisational skills with the ability to prioritise competing deadlines and manage multiple projects concurrently.
- Excellent problem-solving abilities and a proactive approach to overcoming challenges.
- Outstanding written and verbal communication skills, with the confidence to build strong relationships with clients and internal stakeholders.
- A meticulous eye for detail and a commitment to delivering a seamless customer experience.
