An established residential builder is seeking a proactive and highly organised Workflow Coordinator to oversee and manage the flow of projects across the full build journey.

This role plays a critical part in ensuring seamless coordination across Pre-Construction, Construction Administration and Maintenance, delivering clear visibility, accountability and momentum across departments.

Reporting directly to the Operations & Workflow Manager, the Workflow Coordinator will be responsible for maintaining end-to-end workflow alignment, ensuring projects progress in line with agreed milestones, KPIs and sequencing requirements, while proactively identifying and addressing risks.

Key Responsibilities:

  • Coordinate project workflows across Pre-Construction, Construction Administration and Maintenance phases
  • Maintain accurate, up-to-date visibility of all active and upcoming projects across the pipeline
  • Manage workflow progression against agreed milestones, stage requirements and timeframes
  • Take ownership of sequencing, prioritisation and follow-ups to ensure consistent project momentum
  • Identify stalled jobs or emerging delays, resolving issues where possible and escalating where required
  • Monitor departmental performance against monthly KPIs and prepare insights for management review
  • Facilitate regular cross-department workflow meetings, preparing agendas, updates and tracking action items
  • Monitor client satisfaction trends and proactively manage risks impacting the customer experience

Required Skills & Attributes:

  • Demonstrated ability to take end-to-end ownership of workflow progression across Pre-Construction, Construction Administration and Maintenance, ensuring momentum is maintained and handovers are completed effectively
  • Strong capability to coordinate actions across multiple teams, track dependencies, and ensure commitments are completed without requiring constant oversight
  • Highly organised approach to managing competing priorities, tracking multiple jobs at different stages and maintaining clarity across complex workflows
  • Confident use of internal systems, workflow trackers and reporting tools to maintain visibility, accuracy and reliable information across the business
  • Strong judgement in assessing risk, urgency and impact, with the confidence to act within role authority and escalate appropriately when required
  • Willingness to step into varied tasks as needed to unblock progress, support teams and ensure outcomes are achieved
