Seeking a superstar office administrator for short-term 4 week contract
Our shopfitting client is currently looking for a skilled and proactive Office Administrator to join their team on a 4-week contract. The ideal candidate will be someone who's super organized and ready to jump in. You'll be the go-to person for all the day-to-day office tasks, from answering calls and sorting mail to handling paperwork and making sure everything runs smoothly.
This is a role in a busy construction office, so relevant experience is highly desired.
Role Duties Include:

Assist with all general queries.

Receive, register, and allocate all mail.

Confirm new bank account details.

Maintain and order office/staff kitchen and amenities supplies as necessary.

Reconcile supplier statements and follow up on missing invoices.

Scan, file, and photocopy documents.

Assist in the coordination of inwards and outward goods.

Answer and coordinate phones, deal with issues as appropriate or pass on messages as required.

Rename and upload invoices.

Assist in sourcing media/content/information/photos for marketing, social media, and the website.

Assist with applications to council/certifiers, health/council, plumbing, etc., and ensure follow-up until permits are received.

Assist with inspections and handovers.

Liaise directly with clients and sub-trades regarding items relevant to the position, including pricing negotiations, load times, and deliveries.

Assist in gaining pricing for tenders.

Follow up on any misplaced or missing orders.

Assist in the administration of purchase orders and delivery dockets for materials and sub-trades.

Arrange flights, accommodation, and vehicles for all personnel.

Order project requirements in a timely manner, in accordance with project schedules.

Deal directly with Shopping Centre Management for access and security compliance.

Assist with arranging freight for projects.

Arrange cleaners, caulkers, and equipment hire for all projects.

Oversee and coordinate any defects/maintenance requests from customers and ensure follow-up until tasks are completed.

Assist in OHS paperwork for site access and Buildpass.
